ASOY BOARD TUITION AND FEES POLICY

Late Payment of Tuition and/or Fees
Failing to make tuition and/or fee payments on time is grounds for losing membership in the Association on the part of the parent(s) or guardian(s) and consequently results in the dismissal of children from the school.
Late payment is defined as tuition and/or fees paid any day after a student’s first day of attendance, or in the case of bank transfers, any payment posted to an ASOY account after a student’s first day of attendance.
A penalty charge of U.S. $25.00 per calendar day will be assessed for late payment. Parents who do not pay will receive a letter two weeks in advance of the last day of the quarter. If there is no response or no acceptable payment by the first day of the next quarter, the child will not be allowed to attend school.

It is the responsibility of parents or organizations paying by bank transfer to provide the school with a copy of the bank order dated on or before the due date to avoid a penalty charge. To calculate late payments paid in CFA, the exchange rate will be the rate used to establish the annual budget OR the U.S. Embassy rate of the day, whichever is more beneficial to the school.
Late entry or early departure of students

        • Students enrolling after the first day of school, but before the first day of the second quarter, will be assessed tuition and fees for the entire year.
        • Students enrolling on or after the first day of the second quarter, but before the winter holiday in December, will be assessed 75% of annual tuition. .
        • Students enrolling in January after the winter holiday, but before the first day of the second semester, will be assessed 1/180th of the annual tuition for each day of attendance for the remainder of the first semester.
        • Students enrolling at any point during the second semester will be assessed one-half (50%) of annual tuition, with the exception of enrollment 30 calendar days or less prior to the end of school.
        • Registration and capital levy fees will be paid in full for late entry students.
        • Students enrolling 30 calendar days or less prior to the end of the school year will be charged the full registration fee and 1/180th of the annual tuition for each day of attendance. The capital levy may be deferred until the beginning of the next school year.

Tuition Refunds
Students arriving late or withdrawing early may be eligible for a refund or a partial payment of tuition and fees according to the following guidelines:

  • Students withdrawing prior to 30 calendar days of registered attendance are entitled to refund of 80% annual tuition.
  • Students withdrawing prior to the first day of the 2nd quarter are entitled to a refund of 50% annual tuition.
  • Students withdrawing prior to the first day of the 2nd semester are entitled to a refund of 25% annual tuition.
  • Students withdrawing prior to the last day of the 3rd quarter are entitled to a refund of 10% annual tuition.
  • No refund of tuition will be given to students withdrawing after the first day of the 4th quarter.
  • In order to qualify for a refund, written notice of withdrawal and request for applicable tuition refund must be received by the school within 30 days prior to the student’s last day of attendance.
  • In the above mentioned cases:
    • Refunds may be obtained for tuition and lunch fees only.
    • No refunds may be obtained for registration, capital levy, or bus fees.
    • No refunds may be obtained in the case of temporary school closure due to evacuation of non-essential personnel by a diplomatic mission or business.

End-of-Year Outstanding Accounts
Outstanding tuition and/or fees for one school year cannot be carried over to the next school year. If tuition fees, registration fees, capital levy, and/or other outstanding accounts have not been paid by the end of the school year, report cards, transcripts, and school records will be withheld until all obligations have been settled. No student with a past-due account will be allowed to sit for final exams or will be re-enrolled for the next school year until all past due obligations have been paid.
Forfeiture of Tuition and other Fees
In the event a student is expelled from the school, any remaining tuition, registration, capital levy, bus, lunch, and/or boarding house fees will be forfeited.
